The Fall Ergonomics Audit: A Room-by-Room Office Checklist
Fall is reset season. Teams are back at full strength, projects are ramping toward year end, and everyone is spending more hours at their desks than they did in July. That makes September the perfect time for an ergonomics audit: a structured walk through the office to catch the small problems before they become winter-long aches and complaints. Here is a room-by-room checklist any office manager can run in an afternoon.
Workstations: Chairs First, Then Surfaces
Start where people spend the most time. At each workstation, check that the chair still holds its height setting, the tilt tension works, and the armrests adjust. A chair that slowly sinks all day is one of the most common and most ignored ergonomic failures. Then look at the work surface: elbows should rest at roughly 90 degrees while typing. If employees are propping monitors on reams of paper or perching keyboards on pull-out trays that wobble, note it. For teams that alternate between focus work and long calls, sit and standing desks solve several checklist items at once, letting each person dial in their own working height instead of adapting their body to a fixed surface.
Monitors, Keyboards, and the Small Hardware
The top of each monitor should sit at or slightly below eye level, about an arm’s length away. Laptops used as primary machines need a riser and an external keyboard, full stop. While you are at each desk, check for keyboard trays that have drifted out of alignment and monitor arms that no longer hold position. These are inexpensive fixes that produce outsized comfort gains.
Conference Rooms: The Forgotten Hour-Long Sit
Meeting chairs get far less scrutiny than task chairs, yet people sit in them for hour-long stretches. Test a few: do they roll, swivel, and support the lower back, or are they rigid guest chairs pressed into daily service? If your conference table forces attendees at the ends to crane toward a screen, the room layout belongs on the audit list too.
Shared and Touchdown Spaces
Breakrooms, huddle areas, and lobby seating all count. Look for seating with no back support being used for real work sessions, stools that violate their weight ratings, and any furniture that wobbles or has a cracked frame. Shared spaces age faster than assigned ones because nobody owns the problem.
Turn the Checklist into a Plan
Score each finding as fix now, budget for Q4, or monitor. Sinking chairs, wobbling surfaces, and laptop-only setups go in the fix-now column. Larger patterns, like a whole department on decade-old seating, become a budget line while year-end money is still available. An audit that ends in a spreadsheet nobody acts on was just a nice walk.
