Every fall, a familiar phone call reaches our team: a company signed a lease that starts January 1, and they want furniture installed by New Year’s Day. Whether that timeline works depends almost entirely on what they order and when. Here is an honest look at how office furniture lead times actually work, and why October is the month to act for a first-quarter move-in.

What Drives Lead Time

Office furniture is not sitting in a warehouse waiting for you. Most systems furniture, private office casegoods, and upholstered seating are built to order. The clock includes manufacturing, fabric and finish selections, freight from the factory, receiving and inspection at a local warehouse, and finally installation. Each step has its own queue, and the queues get longer toward year end as everyone else races the same calendar.

Typical Ranges by Category

Numbers vary by manufacturer, but reasonable planning figures look like this. Quick-ship task chairs and tables: one to three weeks. Standard workstations and benching: four to eight weeks. Custom private office suites, specialty finishes, and premium seating lines: eight to twelve weeks or more. Remanufactured and pre-owned inventory can compress those numbers dramatically, which is one reason we keep it in the conversation for deadline-driven projects.

Work Backward from Your Move Date

Take a January 15 occupancy date. Subtract two weeks for installation, punch list, and the inevitable surprise. Subtract another week for receiving and staging. That means product should ship from the factory by mid December, which means orders with finishes locked need to be placed by late October for standard product, earlier for anything custom. Signing a purchase order in December for a January install limits you to whatever happens to be in stock.

The Hidden Schedule Items

Furniture also has to coordinate with everyone else touching the space. Electricians need workstation power specs before walls close. Building management needs certificates of insurance and freight elevator reservations. Data cabling has to land where the desks actually go.
